1. Introduction
This policy document provides guidelines for dedicated drivers employed in LOCATION X RENT A CAR’s Golf Cart Electric Vehicle Rental Service. It covers work hours, leave entitlements, training requirements, and other essential aspects to ensure consistent and efficient service delivery.
2. Work Hours
a. Standard Work Hours
- Regular Shifts: Drivers are required to work as scheduled on their contract terms which is to correspond with clients’ schedules/work hour requirements. Drivers’ work hours, however, may include Standard shift timings where applicable.
- Breaks: Drivers are entitled to a 45mins/1-hour break which covers both meal and rest breaks during their shift. Regardless of the official policies on break timing, supervisory managers have the right to coordinate staff timing to maintain service coverage and other safety reasons.
b. Overtime
- Overtime Policy: Overtime may be required during peak times or special events. Approved/official overtime work will be compensated according to LOCATION X RENT A CAR’s overtime policy, and prior approval from a supervisor is required.
c. Punctuality and Attendance
- Punctuality: Drivers must report to work on time, fully prepared to begin their duties at the start of their shift.
- Attendance: Consistent attendance is expected. Unscheduled absences should be communicated to the supervisor as early as possible. Repeated unexcused absences may lead to disciplinary action.
3. Leave Entitlements
a. Annual Leave
- Leave Allocation: Drivers who have at least one year of service with LOCATION X RENT A CAR are entitled to one month of annual leave. Leave requests must be submitted in advance and approved by the supervisor. This will help the supervisor to arrange for a replacement beforehand.
- Leave Approval: Approvals are based on service requirements and the order in which requests are received. During busy periods, leave may be restricted.
b. Sick Leave
- Sick Leave Policy: All Sick leave should be reported as soon as possible, and a medical certificate. Any absences longer than 30 days will cure automatic replacement without notification.
- Return to Work: After sick leave, drivers must confirm their ability to resume duties with their supervisor and provide any required documentation.
c. Emergency Leave
- Emergency Leave Provision: Emergency leave can be requested in the event of unforeseen circumstances. Such requests will be evaluated by the supervisor on a case-by-case basis.
4. Training Requirements
a. Initial Training
- Mandatory Training: All new drivers must complete a mandatory training program before starting work. The program covers vehicle operation, customer service, safety protocols, and company policies.
b. Refresher Training
- Ongoing Training: Drivers will be required to attend periodic refresher training sessions to stay updated on the latest safety practices, company policies, and any new technology or equipment.
c. Certification
- License Requirements: Drivers must possess a valid driver’s license appropriate for operating electric golf carts. The company will assist in renewing certifications as necessary.
- Performance Evaluation: Regular performance evaluations will be conducted to ensure drivers meet the required standards. Additional training may be provided based on these evaluations.
5. Replacement and Continuity
a. Temporary Replacement
- Short-Term Absences: During short-term absences such as sick leave or emergency leave, a temporary driver will be assigned to ensure continuous service. The Operations Manager will manage these assignments.
b. Permanent Replacement
- Permanent Vacancies: If a driver permanently leaves their position, the company will initiate the recruitment process to fill the vacancy. Sufficient notice should be provided by the departing driver to facilitate a smooth transition.
c. Training for Replacements
- Replacement Driver Training: Any replacement driver, whether temporary or permanent, must undergo the necessary training before taking on full responsibilities.
6. Compliance and Review
a. Policy Compliance
- Adherence to Policies: Drivers must comply with all policies outlined in this document. Non-compliance may result in disciplinary action, including termination.
b. Policy Review
- Review: These policies will be reviewed annually to ensure they remain relevant and effective. Updates will be made as necessary based on operational needs or changes in legal requirements.
